The 20-Year Journey to (Almost) Zero Friction

It actually took me 20 years to build Propelo to this point. I originally did concept design and graphics for games and didn't know anything about managing myself—just worked my ass off and burned out often.After a while I joined a large company with people from "serious" places like financial software firms. I worked with a real project manager for the first time. Until that point, I stayed up all night crunching until morning. This team taught me one of the best lessons in my early life: it's important to decide what's actually important and what's just "nice to have." A lot of low-impact tasks take huge chunks of time. Time is the most limited resource of them all. This lesson made me a valuable project manager over my life.Then I found out I have ADHD.At that moment, I knew what to do, but because many things were important AND urgent, I became paralyzed. I continuously left things unfinished. Some had deadlines (taxes), some didn't (clean that clogged bathroom drain).I discovered OKRs (Objectives and Key Results) in the corporate world. Objectives are things you want, and Key Results are measurements that would show you reached them. For example, you want to be fit. A Key Result would be that you exercise 3 times a week for 4 weeks, and you weigh x pounds. This helped me create long-term plans with clear milestones. It reduced my paralysis by making necessary actions clear.
But the last issue remained: actually doing it.
There are methods—body doubling, medication, pomodoro. I wasn't a huge fan of those methods, though they worked ok. I dug in to find something more sustainable. I noticed the first thing is to define THE one thing you'll commit to. Then force yourself to mindlessly start the physical motions. If I get distracted, I look at my written task. It needs to be in your face. Out of sight, out of mind.People with ADHD are great at emergencies and last-minute work. I started plotting everything in tiny increments on my calendar to see the deadline—this triggers urgency propulsion earlier. Having my digital calendar visible, seeing time passing throughout the day, helped me get in tune with time.Moving Google Calendar events every day became a chore.
So I built my philosophy and Google Calendar sync into a service. Propelo. It helps me propel myself every day without getting stuck, paralyzed, and foggy.
Seeing my full list without separate inboxes or projects has been revolutionary for keeping up to date. Committing myself daily to one thing—and being able to choose that one thing—gets me to kick into gear. Having my tasks and due dates automatically plotted into my life bible (calendar) has been a huge relief. I trust it.Propelo isn't perfect. There's still a lot I want to build into it, but I'll never lose sight of two important things: you can't outsource your mind, and complexity is the process killer.

Firecode Labs

Firecode Labs exists to build tools that simplify focus and improve daily life for people with ADHD. The mission is not to chase a perfect cure or a one-size-fits-all method, but to design systems that reduce friction and promotes clarity and action.
Our focus today is ADHD productivity and planning tools, starting with Propelo. The larger goal is to create technology that makes complex challenges feel lighter and more manageable.

Privacy Policy

This Privacy Policy governs how Firecode Labs, LLC ("Firecode Labs", "we", or "our"), the operator of the Propelo iOS app and the website (together referred to as "the Service"), collects, uses, maintains, and discloses information from users ("you" or "users"). It applies to all products and services offered by Firecode Labs.1. Information Collection
When you sign in to the Service using your Google account, we collect your email address, which acts as your unique user ID, and your display name. If you choose to grant calendar access, we also collect information about your preferred Google Calendar and timezone to ensure that your tasks are scheduled correctly. To deliver the Service’s features, we store any tasks, goals, and related data you create, including due dates, scheduling preferences, and the number of tasks you’d like per day. These are used to power features like automatic task planning and calendar syncing.
In order to support paid features, we collect and store your Apple subscription data, including purchase history and renewal status, where available. For authentication and account linkage, we store your Google ID and, if you've enabled sync, your Google access and refresh tokens. These tokens are encrypted at rest, stored only on our servers, are not persistently stored on your device, and used to sync your tasks with Google Calendar. We also store a pseudonymous Mixpanel ID to help us understand general usage patterns and improve our services. Additionally, crash logs and network diagnostics may be briefly retained to help us detect and fix technical issues; these are automatically deleted within 14 days.
If you contact us via the website or email, we will collect your name, email address, and the contents of your message. This is used solely to respond to your inquiry and provide user support.
2. Information Usage
We use your personal information to create and manage your account, deliver core functionality, and ensure that your tasks, calendar events, and preferences are securely synced and stored. Your email address and Google ID allow us to authenticate you and keep your account consistent across sessions and devices. Your task and goal data power the primary features of the Service — including scheduling, goal tracking, and productivity insights — while your Google Calendar data allows us to accurately position tasks in your real-world availability.
We also use pseudonymous and anonymous analytics data through Mixpanel on the iOS app and Google Analytics on our webpage to measure usage trends and improve performance. This data is collected only with your consent if you're located in the EU, and can be toggled on or off in the Service’s settings at any time. We never sell your data or use it for third-party advertising. If we contact you, it will only be in relation to support, product updates, or issues related to your account or security.
3. Information Storage and Security
All user data is stored in secure databases hosted on Google Cloud Platform. Our infrastructure is designed with strict access control, encrypted data storage (both in transit and at rest), and audit logging to prevent unauthorized access. Authentication is handled using secure OAuth protocols via Google Identity, and all sensitive tokens are encrypted and stored server-side.
We retain your data only as long as necessary. Your personal account data, tasks, goals, tokens, and settings are stored until you delete them or delete your account. Once your account is deleted, we erase personal data within 30 days, and backups containing encrypted fragments of that data are rotated out and deleted within 60 days. Debugging logs are kept for no more than 14 days. Access tokens are stored only as long as needed to maintain synchronization and are invalidated if you revoke calendar access or disconnect your Google account.
All data is hosted in secure servers located in the us-central1 region of Google Cloud Platform.4. Legal Basis for Data Processing
For users in the European Economic Area (EEA), our processing of your data is based on one of the following legal grounds: performance of a contract (e.g., creating and maintaining your account), your explicit consent (e.g., for calendar sync or analytics), compliance with legal obligations (e.g., fraud detection or breach notifications), and our legitimate interest (e.g., to maintain platform security and usability). If we rely on consent, you may withdraw it at any time through the app’s settings or by contacting us.
5. Compliance
General Data Protection Regulation (GDPR): We comply with the principles and requirements set forth in the GDPR concerning the collection, use, retention, and protection of personal data. The text of the regulation can be viewed at: https://gdpr.eu/.
California Consumer Privacy Act (CCPA): We also adhere to the rights and obligations outlined in the CCPA, providing California residents with control over their personal information.6. Data Sharing and Third-Party Services
We do not sell or trade personal information. However, we do share certain data with trusted service providers under strict data protection agreements. For hosting, authentication, and database services, we use Google Cloud Platform. Postmark handles our transactional email delivery and receives only your email and name, if provided. If you've enabled analytics, pseudonymous data is shared with Mixpanel (iOS app) and Google Analytics (webpage) to measure user engagement. For real-time performance and security at the network level, we use Cloudflare, which may process your IP address at the edge for firewall, DDoS, and caching services. All of these providers are GDPR- and CCPA-compliant under signed Data Processing Agreements (DPAs), and none use your data for independent purposes.
7. User Rights and Controls
You have full control over your personal information. At any time, you may request access to the personal data we store about you, correct inaccurate or outdated information, or request a full export of your data in a machine-readable format. You may also delete your account and all related data by deleting your account through the app or by contacting us. For users covered under GDPR or CCPA, we fully honor the rights granted by those laws, including the right to object to processing, withdraw consent, or request that your data not be shared with any third parties beyond what’s required to operate the Service.
To exercise any of these rights, you can email us at [email protected]. We will respond to all verified requests within 30 days, or 45 days in the case of more complex CCPA requests. We do not discriminate against users who choose to exercise their privacy rights.
8. Google API and Calendar Policy
The Service’s use and transfer of information received from Google APIs complies with the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements. We never use your Google Calendar data for advertising, resell, or analysis beyond the intended feature of task scheduling.
9. Analytics, Cookies, and EU Consent
The Service uses analytics tools to help us understand general usage patterns. Analytics data is pseudonymous by default and may be anonymized or disabled at the user’s request in the app settings. If you're accessing the Service from the European Union, analytics will only be enabled after you provide explicit consent, which you may revoke at any time from the app’s settings. We do not use tracking cookies on our website for advertising or behavioral profiling.
10. Data Breach Policy
If we become aware of a data breach that compromises your personal information, we will notify affected users by email without undue delay and where required, in accordance with GDPR regulations. The notification will include the nature of the breach, what information was affected, and what measures we’ve taken to resolve it.
11. Children’s Privacy
The Service is intended only for users who are eligible to create a Google account and are at least 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children under the age of 13. If we become aware that such data has been collected, we will promptly delete it from our records.
12. Policy Updates
We may update this Privacy Policy from time to time to reflect legal, technical, or operational changes. Any significant updates will be communicated to users via email. Continued use indicates acknowledgment of the updated policy.

Subscription management, cancellations, and refund requests must be handled through your Apple ID account settings, in accordance with Apple’s policies.Firecode Labs has no ability to issue refunds or modify subscriptions on Apple’s behalf.7. I Have ADHD and I'm Tired of Task Apps (But I Need One)

The Pain

I've tried a lot of task apps. Todoist, Notion, Things, TickTick, Asana, Trello, and many others. Most became overwhelming, or I stopped opening them after a few days. It was a problem because I genuinely need a way to plan and execute tasks. Important things would slip out of my awareness until it was too late, creating a constant low-grade background anxiety about forgetting.

So I built something different

After 20+ years of struggling and 1–2 years of building, I got Propelo to a point where it actually works for me. It's based on two principles: zero friction, total clarity.
Here's how it works:

  • One list >> No folders, no projects. Everything in a single, prioritized list. No more out of sight = out of mind.

  • One top priority >> Only one task can be at the top. If I have two lists, I have two top tasks. That's two things competing for attention. Propelo forces a decision.

This does not work for most people

I tested it with friends for 1 year on TestFlight as I built Propelo. Here's what happened:

  • The ones who tried it said "it doesn't make me DO the thing"

  • Multiple people wanted a desktop version (because that's what they look at all day)

This tells me one thing: this is not for most people.
